Swim Ireland is the National Governing Body (NGB) for Swimming, Water Polo, Diving and associated Aquatic Disciplines on the island of Ireland. Reporting to the Education Manager, the Club and Education Administrator will provide administrative and customer support across Swim Ireland’s Clubs and Education functions, supporting club engagement, club development, education courses, tutors, learners, volunteers, and wider stakeholders.
This customer-facing role requires excellent administration, communication, and organisational skills. The successful candidate will respond to queries professionally, maintain accurate records, and assist with courses, training events, resources, communications, and stakeholder engagement.
· Support the administration, promotion, and delivery of education programmes, courses, workshops, conferences, and continuing professional development opportunities.
· Manage registrations, records, communications, and related administration across relevant systems.
· Provide support to clubs and volunteers throughout the club affiliation process and with day-to-day queries.
· Assist with stakeholder engagement through email, phone, meetings, competitions, and other Swim Ireland activities.
· Maintain accurate records, processing routine administrative tasks, and escalating issues or concerns to the appropriate team member when required.
· Contribute to a positive experience for clubs, volunteers, learners, tutors, and members by providing efficient and responsive support.
· Attend Swim Ireland competitions, conferences, club, education, industry, and networking events as required.
· Work with other Swim Ireland departments to support courses, programmes, initiatives, events, and strategic objectives.
· Carry out other duties appropriate to the role as required.
· Eligible and available to work in Ireland on a full-time basis.
· Excellent written and spoken English, with strong email and phone communication skills.
· Excellent administration, organisation, attention to detail, and record-keeping skills.
· Strong working knowledge of Microsoft Outlook, Word, Excel, PowerPoint, and online systems or databases.
· Ability to manage competing priorities and work effectively in a busy environment.
· Previous experience in an administrative and customer-facing role.
· Experience in sport, education, membership, club, leisure, or voluntary sector environments is desirable.
· Experience using membership databases, learning management systems, or course administration systems is an advantage.
· Excellent customer service, administration, and attention to detail.
· Friendly, professional, and confident communication style.
· Ability to build positive relationships with clubs, volunteers, tutors, learners, and colleagues.
· Flexible, adaptable, proactive, and able to work under pressure and meet deadlines.
· Team player with the ability to work on their own initiative and contribute to continuous improvement.
